What- The Role:

  • Greet and assist both guests and employees upon arrival, ensuring a friendly and seamless check-in experience. 
  • Maintain the cleanliness and organization of the front desk and guest lounge area, creating a welcoming environment. 
  • Screen and direct incoming communication such as emails, internal tickets, and voicemails, ensuring timely and appropriate responses. 
  • Manage security access cards for employees, vendors, and guests, ensuring proper access control and security measures. 
  • Handle office services requests, including but not limited to security access, parking, booking resources, rental requests, supply inquiries, and general office feedback. 
  • Support the core team with event coordination and execution at the building, providing logistical and operational assistance.
  • Oversee all incoming mail, continuously optimizing processes to support our rapid growth. 
  • Conduct departmental mail audits on a bi-weekly, monthly, and quarterly basis, producing and maintaining reports for department leadership. 
  • Maintain up-to-date receiving and Office Services information on internal communication platforms for easy access and reference.
  • Uphold building emergency processes and procedures. Escalating to the Asset Protection team as necessary.
  • Manage stock and organization of all office supplies, ensuring timely replenishment and proper inventory levels. 
  • Assist in the creation and maintenance of strong process and procedures documentation to support operational efficiency. 
  • Provide support to the Facilities team as required, helping with tasks that ensure the office runs smoothly and efficiently.

You are the vacation coverage support for Executive Assistants taking their much-deserved vacations. Our client’s EAs are connectors between senior leadership and departmental team needs; principal scheduler, timekeeper, planner, and coordinator to a member of the Executive Team, the Executive Assistant has a vital role in the success of their department. Tasks in this role include (but are not limited to):
 

  • Coordinates Executive’s calendar and contacts and, according to allowed authority, manages Executive’s email.
  • Establishes work priorities and directs assignment of work to various department staff according to scope of allowed authority.
  • Coordinates Executive’s calendar and sends meeting invitations and agendas to attendees, books meeting rooms, and arranges for IT resources and refreshments in support of efficient meeting facilitation.

Executive Assistant
This pivotal role provides high-level administrative support to the CEO, CFO, and EVP, Strategy & Innovation, ensuring seamless calendar management, travel coordination, and meeting logistics. The Executive Assistant/Office Manager will also support investor relations activities, including scheduling meetings, managing IR data, and organizing conferences and other IR events and supporting board related activities.
Additionally, as Office Manager for our Vancouver headquarters, this role will ensure the office operates seamlessly, creating a productive and welcoming environment for all employees by overseeing the organization and maintenance of office spaces and supplies. RESPONSIBILITIES:
 Administrative Duties

  • Provide dedicated administrative support to our Chief Executive Officer, Chief Financial Officer and our EVP, Strategy & Innovation, including calendar management, travel and expense support.     
  • Support the direct reports of the Chief Financial Officer and EVP, Strategy & Innovation with scheduling of large meetings, and travel and expenses.
  • Provide investor relations administrative support to the CEO and CFO including ongoing scheduling of buy-side and sell-side meetings, data management of the IR CRM, conference registration, and logistics pertaining to non-deal roadshows and conference appearances.  
  • Provide effective calendar management resolving scheduling conflicts.    
  • Assist Corporate Affairs team with logistics and execution of CEO-hosted events, including but not limited to executive and/or board offsites.
  • Work with Legal team to coordinate logistics and calendar bookings for all board and committee meetings.
  • Support board members with travel and expense support  
  • Plan and book large/complex internal or external meetings, including but not limited to Senior Executive Team meetings, and investor events, while supporting the execution of such meetings, as required.
  • Work with corporate travel agency and/or through Concur to manage all travel arrangements and prepare detailed travel packages, including itineraries and supporting documents. (To include assessing flight options and booking flights, hotels, and ground transportation.)    
  • Prepare expense reports and obtain approval signatures for board member expenses. Assist CEO, CFO, and EVP, Strategy & Innovation with entering and reconciling expenses in Concur.
  • Diligently manage confidential and sensitive information relating to leadership roles and responsibilities, as well as key stakeholders (such as directors, investors)  
  • Anticipate, understand, and respond to the needs of internal and external stakeholders to meet or exceed their expectations within organizational parameters.     
  • Proactively review administrative systems and processes to develop, update or improve to maximize efficiency and effectiveness; work with other administrative staff, including those locally and in the US office to ensure consistency across procedures where applicable.    
  • Vacation coverage for other administrative staff as applicable.    

Office Management Duties

  • Working closely with Facilities and IT, coordinate and support facilities-related activities in the Vancouver office (e.g. maintaining long-term seating plan, etc.).  
  • Manage boardroom booking system, including: coordinating bookings; responding to requests; liaising with IT, Facilities and other departments as needed to ensure proper set-up and clean up; ordering food and beverages as needed; and greeting external guests.
  • Maintain office and kitchen supplies; managing relationships, budget, and invoice processing with these vendors.  
  • Recommend best practices and process improvements to ensure consistent and effective services and provide and contribute to the overall success of the office and organization.    
  • Work with Corporate Affairs team to assist with logistics and execution of in-office events as needed.    
  • Act in accordance with Company policies, including, for example, the Code of Business Conduct and Ethics and ensure policies are understood and followed by direct reports, if any   
  • Other duties as assigned.  

 

Who - the Candidate:

Required Knowledge & Skills

  • At least 6 to 8 years of administrative experience with C-Suite executives.   
  • Undergraduate degree.
  • Experience in the biotech or pharma industry preferred.   
  • Office management experience preferred.  
  • Excellent time management skills with a proven ability to meet deadlines.  
  • Ability to work in a quick-paced environment, adapt well to changing circumstances, direction, and strategy.   
  • Stellar verbal, written, and interpersonal skills.

How Much:

The base salary range for this role is $90,000 to $110,000 preferably. Base salary is determined by a combination of factors including, but not limited to, education and other qualifications, years of relevant experience, and internal equity.

What- The Role:

The Market Product Integrity team is accountable for a significant breadth of work, with oversight over a portfolio of multi-disciplinary teams with direct and indirect accountabilities to product, supply chain, stores/retail/GEC, PR/Brand/Communications, legal and sustainability. This role is accountable for organizing, facilitating and documenting key components from various teams within the North America, Europe, and Asia Pacific regions.

  • Required to be a strategic operator that can work independently and in partnership Cross-Functional team members.
  • Manage and respond to global quality forums and support with investigating potential issues. Analyze and escalate trends to Quality Review Board (QRB) members and Cross-Functional partners as needed.
  • Coordinate Product Integrity driven meetings and support Cross-Functional partners in issue resolution.
  • Lead Quality 101 and Vendor onboarding training with new vendors visiting the offices.
  • Coordinate travel itinerary for Global Product Integrity leadership as needed.
  • Coordinate and help facilitate Global Product Integrity wide bi-monthly meetings and bi-annual offsites.
  • Ensure required resources are secured for all executive meetings (on-site, offsite, virtual), e.g. providing or creating materials and documentation required for meetings, booking meeting room or offsite locations, procuring necessary IT or other equipment, and support as required to create presentations, summarize detailed reports, and prepare or review draft communications
  • Coordinates various scheduling tasks for Global Product Integrity initiatives.

Who- the Candidate: 

  • Undergraduate degree & Professional Development education preferred.
  • 1-2 years experience in business, operations, office management, production, or related field preferred.
  • Experience as an Executive Assistant or Office Administration role
  • Has a passion for our product, our educators, ensuring high quality in our product and creating clarity from confusion.
  • Experience with Smartsheet is an asset.
  • Exceptional communication skills, written and oral skills in English and other languages a plus.
  • Strong interpersonal relationship and communication skills, and experience communicating across various leadership levels as a key liaison.
  • Trusted in handling sensitive & confidential information with utmost reliability.
  • Tech savvy - well versed in Microsoft OS apps (e.g. O365, PowerPoint, Excel) & other business software, a bonus!
  • Excellent business acumen and ability to exercise sound judgment and prioritization.
  • Extremely detailed and quality oriented.
  • Ability to be resourceful and source details required to carry out tasks as assigned.
  • Ability to manage multiple projects under tight deadlines and prioritize effectively to meet critical by-when's.
  • A team player that truly believes they are successful when the organization is successful.

How much:
Competitive hourly wage in the range of $30-$32.70/hr + 4% vacation pay.

What- the Role:

This is a well-rounded Executive Assistant role spanning a variety of areas such as complex multi-time-zone calendar management, in-person and virtual meetings (scheduling, preparing materials, attending meetings to take minutes, following-up on action items), International travel coordination, email organizing, budgeting, event planning, expense reporting, document creation, internal & external communications, etc.
We are looking for a seasoned, polished, and confident EA who will be viewed informally as a mentor to other administrative staff within the company. The ideal EA will be someone who can identify opportunities for improvements to internal cross-departmental communication, who will leverage existing and new technologies, and who will take the lead on implementing new administrative efficiencies.
 

Who- the Candidate:

On behalf of our client, we are seeking a highly organized, polished, adaptable, dynamic, and professional EA who is values-based and who is a team player with great written and verbal communication skills. Qualified candidates will have at least 8 years’ relevant experience directly supporting busy executives in very fast-paced and dynamic business environments.
Business acumen is essential in this senior EA role, and the new EA will be someone who takes the time to get to know the ins & outs of the company’s complex, interesting, and high-growth business operations.  Candidates must be tech savvy, and able/willing to continuously optimize the use of tools and technologies at the company.
 

How Much:

Highly competitive base salary commensurate with calibre of EA experience and skills, likely in the range of $92,000 to $122,000- please discuss further with SWIM! The total compensation package includes health & dental benefits, an RRSP match, 4 weeks’ paid vacation, etc.  
 

Where:

Vancouver. Hybrid schedule. We are looking for an EA who is adaptable and who can adjust their work hours based on business needs (i.e. attending an early morning or early evening meeting to accommodate colleagues in other time zones). This flexibility is reciprocated by the employer, and the EA can manage their own fluid hybrid schedule (only 1 day/week in office is typical, but some weeks it could be 2-3, depending on meetings and events). The company’s Vancouver corporate office is accessible by car, bike, and rapid transit.

What - the Role:

This role provides key administrative sales support to the Sales Manager and involves light inside sales activities, including phone, email, and online customer inquiries—no cold calling. You'll explain product features, address concerns, follow up on inquiries, and eventually handle quotes, sales terms, and order processing. Additional duties include light accounting, logistics, and general administration.

  • Answer incoming calls and follow up on customer inquiries.

Who - the Candidate:
