What - the role:
Our client is looking for an Administrative Bookkeeper. This is a 3-month contract. This position will be responsible for supporting the Fund Development team and ensuring overall effective and efficient financial, operations, and office administration support. Duties listed below:

  • Handles and responds to daily mail, email, and general correspondence for the team
  • Handles office, and operational supply needs
  • Organizes and archives physical and digital documents and files ensuring their appropriate storage
  • Codes and processes accounts receivable
  • Monitor, code, troubleshoot, and process all financial donations including individual, corporate, and online
  • Produces charitable tax receipts and updates the donor data base
  • Corresponds with donors about donations, including answering calls and emails, keeping website up to date with most needed items, issuing tax receipts for donations, when appropriate

What- the Role: 

Personal Executive Assistant (PEA) to the Company Founder and his partner. This couple is very busy in terms of their business lives, philanthropic pursuits, travel schedules, and social calendars.
This is a very diverse role involving calendar management, travel coordination, overseeing event planning and RSVPs, running routine and ad hoc personal errands, taking care of confidential and urgent correspondence, expense and credit card reconciliation, etc.

Working alongside a Corporate Executive Assistant- the duties for the two EAs are similar; however, this new Assistant is focused on professional administrative duties on the personal-front whereas the other EA is more so focused on matters pertaining to the Founder’s business.

Responsibilities will include:

  • Managing various bank accounts, checking balances, cash flow management, verifying bills and invoices, paying bills, and preparing expense reports.
  • Domestic and international travel coordination and booking, including flights, accommodations, transportation, meeting locations, and scheduling travel itineraries.
  • Reconciling a high volume of credit card and bank statements on a weekly basis.
  • Calendar management, including scheduling meetings, tracking invites, booking personal appointments, and responding to RSVPs. 
  • Household operations including renovation or other repair projects, utility payments, car & house insurance.
  • Occasional corporate office administration back up.
  • Management of personal filing system.  

 
Who- the Candidate:
We are seeking a highly organized and reliable administrative professional who has many years experience supporting a busy senior executive, entrepreneur, and/or high net-worth individual.

  • 8+ years relevant and progressive administrative experience.
  • A high level of integrity is essential, as is the natural ability to keep matters confidential and private.
  • Previous experience supporting a company founder and/or high-profile business entrepreneur is preferred.   
  • Numerically savvy and detail-oriented. Past experience with personal bookkeeping and banking is a major asset.
  • Computer literate, with strong skills in the Microsoft Office suite.
  • Experience coordinating complex multi-national travel, in conjunction with a travel agency.
  • Polished and professional business communication skills are key.
  • Driver’s license preferred, as the PEA will be occasionally driving between downtown Vancouver and nearby locations within the city.

On behalf our client, SWIM is seeking a new Administrative Coordinator who will be responsible for providing administrative support internally and externally to the rentals team, general management, and the external clients. The Coordinator will create and close rental contracts, dispatch the delivery of equipment and follow-up to ensure customer satisfaction, schedule maintenance appointments, prepare documents, track equipment inventory, etc. This job will evolve over time, based on the strengths, interests, and capabilities of the individual in the role. The Coordinator will report into a Manager who in turn reports to the General Manager. SWIM will provide a full job description to interested candidates.

Who- the Candidate:
We are seeking candidates with at least 2 years of work experience in a similar position involving administration and customer service. Very strong preference for candidates who have worked in a role involving the rental, sales, maintenance, or delivery of equipment and/or parts, perhaps gained from an auto dealership or another equipment rental company.

Candidates will be organized and accurate, with the ability to work at a fast pace while providing excellent internal and external customer service skills. Great communication abilities (verbal and written) are important in this role.

Candidates must have a valid and clean Canadian driver’s license and must have regular access to their own reliable vehicle (when used for work, gas/mileage will of course be fully reimbursed)

On behalf of our client, SWIM is seeking a new Administrative Assistant who will directly support the President. This is a fantastic opportunity for an Administrative professional who would love to become an Executive Assistant, or perhaps Office Manager, in future.  
The Admin. Asst. will have a variety of responsibilities including calendar management (using Outlook), travel coordination (not a lot, mostly within North America), preparing documents and materials for meetings and presentations (using Word, PowerPoint, Canva, etc.), scheduling meetings with the Board and other stakeholders, completing expense reports (using Excel), maintaining the company’s investor database and producing investor reporting (don’t worry if this sounds intimidating, training provided!), helping out with event planning, etc. In addition to supporting the President, the Admin Asst will also provide a bit of administrative support to the Executive Director of a not-for-profit organization for children that the President created. SWIM will provide a more thorough job description to interested candidates. 

Who- the Candidate: 

We are looking for candidates with excellent communication skills who enjoy working collaboratively on a team and who pride themselves on a high attention to detail and high-quality work. While supporting the President first and foremost, the Administrative Assistant will also be interacting internally with colleagues in all departments (accounting & finance, sales, marketing, property management, development, acquisitions, etc.) as well as with external stakeholders. We are seeking candidates who are resourceful, upbeat, self-motivated, confident asking questions and giving ideas, and very organized. 

  • Around 5 years of relevant office-based administrative work experience. 

  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel). Experience using Canva is an asset but not at all required. 

  • Relevant post-secondary education is preferred but not required.  

  • Experience working in real estate is a bonus. It’s fine if candidates have no prior work experience in real estate, just an interest in this exciting and fast-paced sector is plenty!

A family-friendly, reputable, and professional organization is seeking an Office Administrator to join their established office team. This is a dynamic role that will introduce administrative candidates to some basic accounting duties as well.

Who- the company:
Our client is a locally known wholesaler and distributor of foods in the Greater Vancouver Area. They specialize in Halal foods and have a strong client base.

What- the role:
This is an Office Administrator 3-month contract role, with an excellent chance for a permanent role. The role reports directly to the Office Manager and will be responsible for duties such as:

  • Handling general calls and customer inquiries

  • Communicating and processing customer orders (direct contact with customers)

  • Creating invoices and processing credits

  • Reviewing accuracy of invoicing and inventory numbers

  • Assisting drivers with questions and concerns

  • Tracking purchase orders

  • General filing, data entry, and organization

  • Ad hoc administrative duties as required

Who- the candidate:
We are looking for an efficient, detail-oriented, and customer-focused Office Administrator. Qualifications listed below:

  • 1-2 years in a Customer Service and/or administrative role

  • Efficient in MS Office Suite (Word, Excel, Outlook, etc.)

  • Tech-savvy and can learn new systems

  • Ability to multi-task and prioritize

  • Proven ability to provide excellent customer service

Where- the location:  
Our client is located in Richmond, B.C. This area is not accessible via transit so a vehicle is required. Free parking available.

When- the schedule:
This is s TUESDAY-SATURDAY schedule. Tuesday to Friday shift is 7 am until 3:30 pm and Saturday shift is 7 am until 11 am.

How much- the pay:
