On behalf our client, SWIM is seeking a new Administrative Coordinator who will be responsible for providing administrative support internally and externally to the rentals team, general management, and the external clients. The Coordinator will create and close rental contracts, dispatch the delivery of equipment and follow-up to ensure customer satisfaction, schedule maintenance appointments, prepare documents, track equipment inventory, etc. This job will evolve over time, based on the strengths, interests, and capabilities of the individual in the role. Who- the Candidate:

We are seeking candidates with at least 2 years of work experience in a similar position involving administration and customer service. Very strong preference for candidates who have worked in a role involving the rental, sales, maintenance, or delivery of equipment and/or parts, perhaps gained from an auto dealership or another equipment rental company. Candidates will be organized and accurate, with the ability to work at a fast pace while providing excellent internal and external customer service skills. Great communication abilities (verbal and written) are important in this role. Candidates must have a valid and clean Canadian driver’s license as there will be occasional driving involved in this role (using a work truck, candidates do not need to have their own vehicle).

The Admin. Who- the Candidate:

While supporting the President first and foremost, the Administrative Assistant will also be interacting internally with colleagues in all departments (accounting & finance, sales, marketing, property management, development, acquisitions, etc.) as well as with external stakeholders. We are seeking candidates who are resourceful, upbeat, self-motivated, confident asking questions and giving ideas, and very organized. 

  • Around 5 years of relevant office-based administrative work experience. 
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel). Experience using Canva is an asset but not at all required. 
  • Relevant post-secondary education is preferred but not required.  
  • Experience working in real estate is a bonus. It’s fine if candidates have no prior work experience in real estate, just an interest in this exciting and fast-paced sector is plenty!

What- the Role:  

Personal Executive Assistant (PEA) to the Company Founder. We are seeking a highly organized and reliable administrative professional who has many years experience supporting a busy executive, entrepreneur, and/or high net worth individual. The new PEA will be providing diverse administrative support to streamline and simplify the company Founder’s extremely busy personal life as well providing ad hoc support on the business side. Working alongside a Corporate Executive Assistant- the duties for the two EAs are very similar; however, this new Assistant is focused on professional administrative duties on the personal-front whereas the other EA is more so focused on matters pertaining to the Founder’s business. 

Responsibilities will include:

  • Managing various bank accounts, checking balances, cash flow management, verifying bills and invoices, paying bills, and preparing expense reports. 
  • Reconciling a high volume of credit card and bank statements on a weekly basis. 
  • Domestic and international travel coordination and booking, including flights, accommodations, transportation, meeting locations, and scheduling travel itineraries.

  • Numerically savvy and detail-oriented. Past experience with personal bookkeeping and banking is a major asset.

Acting as the voice of our client online, the Guest Engagement Coordinator will have a responsibility and ability to build and nurture both internal and external relationships with guest feedback service providers. Responsibilities will include but not limited to providing real time response to guest enquiries and concerns, monitoring trends, identifying opportunity to better meet online needs of guests, ensuring brand level questions, concerns and feedback are received though various media channels and actioned appropriately, ensuring processes for feedback and escalations are in place and working accordingly, liaising with operations team and other departments to ensure flow of enquiries and escalations, working closely with guests and leaders to assist in timely resolution. Ability to perform tasks cohesively in both French and English is a requirement of the role.
