What- the Role:

On behalf of our Client, SWIM is recruiting for a new Manufacturing Administrator who will be responsible for inventory management, manufacturing data entry, and ensuring regulatory compliance. The Manufacturing Administrator will collaborate closely with colleagues and managers in various departments, including operations, supply chain, finance, and human resources. The new Administrator will have the chance to make a direct positive impact on the efficiency and output of the business’ manufacturing function. What- the Responsibilities:

 

  • Coordinate production schedules, workforce planning, and maintenance support by updating relevant records and managing documentation for smooth daily operations.
  • Oversee inventory accuracy by assisting with stock counts, updating inventory systems, and ensuring proper labelling and tracking of materials and supplies.
  • Serve as the primary contact for office and non-inventory purchasing needs while managing vendor communications and ensuring timely procurement.
  • Facilitate interdepartmental communication across production, logistics, compliance, and administrative teams to ensure streamlined workflows and consistent operations.
  • Support ERP system administration, including data entry for Bills of Materials (BOMs), inter-branch transfers, and inventory reconciliation between warehouse systems and physical counts.
  • Assist with label management and quality control, including creating and revising product imprints and operating in-house printing systems for case labeling.
  • Provide logistical support for shipping, receiving, and intercompany transfers, ensuring all documentation is accurate and aligned with ERP data.
  • Contribute to compliance efforts by maintaining up-to-date safety documentation, supporting audit preparation, and participating in health and safety initiatives and committee work.

 

Who- the Candidate:

We’re seeking an up & coming professional who is self-motivated, resourceful, detail-oriented, and organized. Qualified candidates will have at least 2 years and ideally 3+ years of relevant work experience and must have worked in the manufacturing sector.

Excellent communication skills (verbal and written) are important in this role, as is a collaborative approach to work and the ability to partner with colleagues in a variety of departments such supply chain, production, finance, and operations.

  • Post-secondary education in areas such as business administration, operations, supply chain, or manufacturing processes is an asset.
  • Administrative support experience within a production or factory setting, ideally involving ERP software, inventory processes, and cross-functional collaboration.
  • Background in supply chain logistics and production scheduling will be considered beneficial.
  • Knowledge of compliance standards, such as safety certifications and safe document handling procedures, is desirable.
  • Forklift certification is a plus but not mandatory.
  • Systems-
    • Comfortable using Microsoft Office applications and enterprise resource planning (ERP) platforms
    • Prior experience with manufacturing systems (MRP) is advantageous.
    • Ability and willingness to continuously optimize, automate, and customize system use.

How Much:

Base salary commensurate with level of education and relevant supply chain work experience- likely in the range of $50,000 to $61,000. Please discuss your total compensation expectations in further detail with SWIM.
 

Where:

The Manufacturing Administrator will be based out of the Company’s main operations in Richmond.
