Litigation Administrator

This is a one-year contract role with hybrid working conditions of four days onsite and one remote.
 

Who – The Company: 

Our client, one of Vancouver’s most sought-after companies to work for, with global operations and an impeccable reputation, is seeking a highly organized and detail-oriented in-house Litigation Administrator.  
 

What- The Role:

The Litigation Administrator will be responsible for a variety of tasks related to litigation administration and support, working closely with members of our client’s legal team including litigation paralegals and legal counsel. The Litigation Administrator will provide support in collaboration with the litigation paralegals in creating and adopting standard litigation processes, intake of and allocation of litigation demands/claims/actions/correspondence, the life cycle of files, the discovery process including evidence gathering and organization and use of our client’s eDiscovery tool, tracking deadlines, scheduling meetings, tracking case status, communicating case status, settlements, and other administrative support.
This role will coordinate externally with outside counsel and vendors as needed and will also coordinate internally with our client’s billing analyst to ensure billing guidelines are met, and litigation expenses remain in budget. The Litigation Administrator will also work with internal business partners to gather facts and evidence.

  • Support in the administrative organization of the Legal Team’s litigation function.
  • Maintain litigation reports, track and analyze key metrics related to litigation including deadlines and matter organization.
  • Implement efficiencies around litigation processes including additional uses of current systems to support our client’s litigation needs in collaboration with the litigation paralegals.
  • Receive, review, and act on litigation correspondence and documents including, but not limited to subpoenas and garnishing orders from various sources (Service of Process system, regular mail and Service Now), for all areas of litigation.
  • Provide administrative support with pleadings, discovery, and other litigation documents.
  • Organize database of litigation documents and pleadings.
  • Assistance with litigation filing system and litigation calendar system.
  • Provide litigation support and partner with litigation paralegals in operation of our client’s eDiscovery tool to create cases, send out legal holds and perform basic searches.
  • Partner with internal and external legal counsel, IT, and internal business partners with regards to identifying, collecting, preserving, organizing and exporting evidence.
  • Schedule meetings with internal business partners as required.
  • Support with documentation required by external law firms, consultants, and experts.
  • Collaborate with legal billing analyst and accounting to track and manage litigation fees and expenses to budget.
  • Instruct, and assist, when necessary, on preparation and delivery of settlements.

 

Who- the Candidate: 

  • 2+ years of experience in legal administration, litigation support or as a litigation legal administrative assistant.
  • Litigation Administrative Assistant Certificate or Diploma.
  • Bachelor's degree is an asset.
  • Experience in eDiscovery and use of eDiscovery systems.
  • Ability to work independently and prioritize tasks effectively.
  • Strong organizational and project management skills involving multiple tasks and projects.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite and legal research databases.
  • Knowledge of litigation procedures and terminology.

 

How much:

Competitive hourly wage in the range of $34-35/hr + 4% vacation pay.
 

Where:

Vancouver, hybrid working model of 3 days onsite in office, and 2 remote.

We are seeking a highly organized and detail-oriented Legal Project Manager to join our client’s Legal Operations team. The successful candidate will be responsible for managing a variety of projects led by the legal team, including both internal and cross-functional initiatives. This role requires excellent project management skills, the ability to communicate with stakeholders at all levels across the business, maintain project plans, and the capability to ensure timelines are met and stakeholders are kept informed.

Who – the Candidate:

  • Bachelor's degree in Business Administration, Law, or a related field.
  • PMP and or Scrum certification considered an asset.
  • 3+ years of project management/industry work experience.
  • Proven experience in project management, preferably within a legal or corporate environment.
  • Ability to manage project budgets.
  • Strong leadership, sound judgement, critical thinking and decision-making skills.
  • Aptitude to learn and manage change.
  • Excellent communication and interpersonal skills.
  • Ability to successfully manage teams with competing priorities within deadlines in a complex and rapidly evolving organization.
  • Ability to work independently and as part of a team.
  • Detail-oriented with strong problem-solving abilities

How Much:

What- the Role:  

Our client is currently hiring for a Research Agreements Coordinator, Grants & Funding to help achieve their mission of advancing critical healthcare research for all Canadians. This is a newly created role, and the new Coordinator will play a key role on the corporate team. Reporting into the CFO (a wonderful leader!), the Coordinator will liaise with various partner institutions (universities, hospitals, science labs) to process the review and signing of agreements and contracts pertaining to research funding and research grants. The Coordinator will customize (from a template) the agreements and then negotiate on terms (or explain why terms cannot be adjusted), answer questions, make approved changes, determine timelines, and follow-up to ensure timely agreement reviews, approvals, and signatures. This role requires fantastic organizational, interpersonal, and communication skills, with a keen eye for detail and the confidence to follow-up with external partners to ensure they have all they need to be able to sign off on the agreements.

Who- the Candidate:

We are seeking candidates with at least 3 years and ideally 4+ years of relevant work experience, including direct experience with agreements, ideally pertaining to research grants and funding. Work experience in the healthcare sector (especially healthcare research!) is a big plus, but not required for someone who is passionate about the organization’s vision and keen to learn quickly. Qualified candidates will have strong systems skills (MS Office including Word, Excel, Outlook, Teams, SharePoint, etc.).

Where:

Based in Vancouver. More days a week in office at the start during training and relationship building, and after that likely 2 days/week in office and 3 days/week from home (with occasional flexibility to work only 1 day/week from office, if needed).

How Much:

Base salary commensurate with experience and skills- in the range of $52,000 to $75,000, with the high end being reserved for candidates who meet all requirements and qualifications.  Additionally, this organization provides great health & dental benefits, 4 weeks paid vacation, and a solid pension plan. What- the Role:

Our client is seeking a Paralegal to join their small legal team. This is a newly created role due to the company’s ongoing growth. The new Paralegal will report directly into the General Counsel and will support 5 lawyers. The Paralegal will have their own scope of work, and will review and prepare legal agreements, oversee the formation of legal entities, prepare resolutions, prepare filings, support legal due diligence (for M&A and other transactions), and contribute to a variety of general and special projects (commercial, risk management, etc.). SWIM will provide interested & qualified candidates with a job description.

Who- the Candidate:

We are seeking a well-rounded Paralegal with a minimum of 5 years and ideally 10+ years of progressively more complex work experience within corporate law. It is highly preferred that candidates have initially trained in a multijurisdictional law firm (20+ lawyers, 2+ offices, practicing corporate law) and then moved into a corporate paralegal role in industry. Paralegal certificate from Canada highly preferred. Ideally candidates will have North America wide exposure (multi province, multi state). Candidates must be systems savvy, with hands-on experience using the full MS Office suite (Word, Teams, PowerPoint, Outlook, Visio, SharePoint, and Excel). 
Where:
The new Paralegal can be based either in the downtown Toronto office OR the downtown Vancouver office. The Paralegal will likely go on 1 to 3 business trips a year (if living in Vancouver making business trips to Toronto, or vice-versa). It’s not anticipated that the Paralegal will need to travel to the US, but just in case the Paralegal will need to have a valid passport.  This company provides their employees with a flexible hybrid schedule. It is preferred that the Paralegal work from the Vancouver or Toronto office 2 or more days a week.

How Much:

Competitive base salary commensurate with level of paralegal work experience, legal skills, and education/qualifications- in the range of $80,000 to $130,000. The company will provide their new Paralegal with a solid overall compensation package, including a performance-based bonus, a long-term incentive plan, an RRSP match, paid vacation and sick days, relevant professional development support, and excellent health, dental, & vision benefits.
