What- the Role:

On behalf of our client, SWIM is looking for a Mortgage Fulfillment Specialist who will be responsible for assisting with reviewing underwriting documentation, such as appraisals, notices of assessments, strata minutes, financial statements, and all other funding related conditions required, (mostly residential) mortgage loans within Greater Vancouver. The Fulfillment Specialist will prepare and ensure mortgage fundings are processed in accordance with the approval and all conditions and requirements have been met prior to the advance of funds. Coordinate with accounting and notify the referring brokers once a funding is complete and payment of brokerage fee has been made. Other responsibilities including analyzing appraisal reports, researching market information, pulling credit reports, and preparing loan summaries. The Fulfillment Specialist will work closely with brokers to ensure full due diligence.
The Mortgage Fulfillment Specialist will use Excel, Word, Outlook, and PowerPoint, as well as an automated mortgage system. The Fulfillment Specialist will get to interact with colleagues in various departments of the 25-person company. SWIM will provide interested candidates with a thorough job description.

Who- the Candidate:

We are looking for someone who wants to do good work for good people, and who wants to develop gradually over the years with a very stable, successful, and reputable Canadian organization.
Pursue of the Sub-mortgage broker license is required! The company will financially support future relevant professional development and licensing fees.
Candidates will have at least 2 years and ideally 3+ years relevant mortgage fulfillment work experience working in a financial institution, a brokerage, or a mortgage investment corporation (MIC).
Desired strengths and skills include meticulous detail-orientation, organization, reliability, passion for high quality and accurate work, curiosity, and willingness to learn, etc. We are looking for people who are excellent communicators (verbal & written) and who love working closely with a tight-knit team.  
We are seeking a Fulfillment Specialist who is adaptable and friendly. Strong computer skills (particularly using MS Office Suite) are required. Over the long term, the person in this role can develop into more and more senior capacities within the business.

How Much: 

Generous base salary commensurate with relevance of experience and skills – Base salary range is between $80,000 - $110,000. What- the Role:

On behalf of our client, SWIM is seeking a new employee for their busy sales administration team. Depending on the skills and depth/relevance of experience of the hired individual, this role might be titled Senior Sales Administrator, Sales Administration Team Lead, OR Manager of Sales Administration. The new leader of the Sales Administration team will have 3 direct reports (Sales Administrators) and will report directly into the Vice-President of Sales.
This is a well-rounded role involving all the behind-the-scenes action that needs to take place before a home is officially sold. The role has a blend of paralegal work, conveyancing work, contracts management, and general corporate administration- it’s a great role for someone who loves variety in their day-to-day! The Team Lead will deal with contracts for purchases and sales, disclosure statements, land title transfers and registration, statements of adjustments (SOAs), etc. They will interact internally with the sales team and finance team, and externally with legal counsel, purchasers, etc.

Who- the Candidate:

Do you know what REDMA and FINTRAC are? Have you dealt with disclosure statements? Do you understand what needs to happen for a home to be legally sold? If so, you could be a great candidate for this role! We are looking for someone with at least 5 years of recent and relevant experience working at a real estate law firm or a real estate developer that does its own sales or a real estate brokerage.
Experience with residential real estate sales administration is required, ideally multi-family residential sales (apartment towers) across BC. Qualified candidates will love being busy and juggling multiple transactions at once.
Some form of relevant post-secondary education is required
Ideally candidates will already have experience formally managing 2 to 4 direct reports- if not, candidates must demonstrate lots of potential in this area and natural leadership, mentorship, and coaching abilities.
Candidates will be professional, friendly, and reliable, with great time management and organizational skills.

Where:

The company is headquartered in downtown Vancouver. This is a full-time in-office role, with occasional visits to sales centres and projects sites within Greater Vancouver.   

How Much:

Base salary will be commensurate with experience, education, and skills, and could range anywhere from $80,000 to $118,000. Health, dental, vision, and paramedical benefits after initial wait period. Additionally, the person in this role will be eligible for competitive bonuses based on the number of homes sold by the sales & sales administration teams. Who – The Candidate:

  • OFA 2 or higher.
  • Bachelor's degree or post-secondary education in a relevant field (Security Management, Criminal Justice, etc.).
  • Certified Protection Professional (CPP) or equivalent certification is highly desirable.
  • 5-7 years of experience in corporate security with a focus on workplace health and safety.
  • In-depth knowledge of security best practices, risk management, and emergency response.
  • Strong communication and interpersonal skills for effective collaboration with internal and external stakeholders.
  • Experience with security technology, including access control, surveillance, and incident response systems.
  • Outstanding communication skills, including proven ability to influence in all areas of an organization.

What- The Role:

The Litigation Administrator will be responsible for a variety of tasks related to litigation administration and support, working closely with members of our client’s legal team including litigation paralegals and legal counsel. The Litigation Administrator will provide support in collaboration with the litigation paralegals in creating and adopting standard litigation processes, intake of and allocation of litigation demands/claims/actions/correspondence, the life cycle of files, the discovery process including evidence gathering and organization and use of our client’s eDiscovery tool, tracking deadlines, scheduling meetings, tracking case status, communicating case status, settlements, and other administrative support.
This role will coordinate externally with outside counsel and vendors as needed and will also coordinate internally with our client’s billing analyst to ensure billing guidelines are met, and litigation expenses remain in budget. The Litigation Administrator will also work with internal business partners to gather facts and evidence.

  • Support in the administrative organization of the Legal Team’s litigation function.
  • Maintain litigation reports, track and analyze key metrics related to litigation including deadlines and matter organization.
  • Implement efficiencies around litigation processes including additional uses of current systems to support our client’s litigation needs in collaboration with the litigation paralegals.
  • Receive, review, and act on litigation correspondence and documents including, but not limited to subpoenas and garnishing orders from various sources (Service of Process system, regular mail and Service Now), for all areas of litigation.
  • Provide administrative support with pleadings, discovery, and other litigation documents.
  • Organize database of litigation documents and pleadings.
  • Assistance with litigation filing system and litigation calendar system.
  • Provide litigation support and partner with litigation paralegals in operation of our client’s eDiscovery tool to create cases, send out legal holds and perform basic searches.
  • Partner with internal and external legal counsel, IT, and internal business partners with regards to identifying, collecting, preserving, organizing and exporting evidence.
  • Schedule meetings with internal business partners as required.
  • Support with documentation required by external law firms, consultants, and experts.
  • Collaborate with legal billing analyst and accounting to track and manage litigation fees and expenses to budget.
  • Instruct, and assist, when necessary, on preparation and delivery of settlements.

 

Who- the Candidate: 

  • 2+ years of experience in legal administration, litigation support or as a litigation legal administrative assistant
  • Litigation Administrative Assistant Certificate or Diploma
  • Bachelor's degree is an asset
  • Experience in eDiscovery and use of eDiscovery systems
  • Ability to work independently and prioritize tasks effectively
  • Strong organizational and project management skills involving multiple tasks and projects
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite and legal research databases
  • Knowledge of litigation procedures and terminology

How much:
Competitive hourly wage in the range of $34-35/hr + 4% vacation pay

What - the Role:

The Office Manager is responsible for planning and coordinating the day-to-day operations of the Corporate Administration department with a focus on efficiency, time management and service excellence to meet the needs of both the internal business groups and external stakeholders who visit our clients premises, physically and virtually. The Office Manager will be responsible for the development, training and coaching of a small Corporate Administration team.

  • Develop, implement and maintain office policies by establishing standard operating procedures, measuring results against standards, and making adjustments when needed;
  • Ensure that the health & safety policies and practices are implemented and are up to date;
  • Manage space planning, including all office seating assignments and any related software procurement and management;
  • Oversee vendor management and monitor the quality of external service providers (cleaning, caterers, couriers, office suppliers), and resolve issues as required;
  • Serve as co-chair of the Joint Occupational Health & Safety Committee (JOHS);
  • Complete annual performance reviews for all direct reports;
  • Ensure overall team success by setting and meeting annual goals and achievements;
  • Oversee facilities including RFP’s and negotiating vendor bids, contracts and pricing;
  • Plan, monitor and complete project initiatives, on time and on budget, preparing written progress reports and associated correspondence as required;
  • Actively participate in the Social Committee and support organization-wide activities by helping coordinate events;
  • Liaise with internal stakeholders to ensure service level expectations and stakeholder needs are met;
  • Maintain and update the annual operating and capital budget, anticipating expenditures and identifying variances, while addressing issues with the Director, Finance and Corporate Administration;
  • Oversee staff moves and meeting room set-ups;
  • Manage pricing and relationships with key vendors;
  • Oversee procurement of office furniture, stationery and kitchen supplies;
  • Hands-on assistance with Reception and meeting room setups as required;

 

Who - the Candidate:

  • Post-secondary qualification, or equivalent experience;
  • Three (3) plus years experience working in an Office Manager, Office Supervisor, or similar role;
  • Customer-centric approach with a strong track record of identifying and implementing administrative process improvements;
  • Highly collaborative and team focused, with the ability to step in and provide back-up support for meeting room setup and reception, as required;
  • Prior experience managing vendor relationships;
  • Experience coordinating work and event schedules;

“A day in the life” of the Operations Coordinator:

  • Analyze the quantity of products tested for a specific season and assess their impact on the business.
  • Access the project tracker, maintained by Product Experience Testing Coordinators, to retrieve relevant information.
  • Identify all products tested during the specified season within the spreadsheet for a detailed examination and deep dive.
  • Utilize our client’s business-wide product line management system to see what changes were made to each of the products and determine their potential Return on Investment (ROI).
  • Create a presentation that outlines these wins to present back to leadership.
  • Other projects this role may help with include creating training presentations, generating documents, and assisting with change management initiatives.

Who- the Candidate: 

  • 2 years’ experience in similar role
  • Proficient with PowerPoint
  • Ability to take the ideas and vision and create powerful PowerPoint with storytelling.
  • Proficient with Excel (Smartsheet ideal), PowerBI, data mining etc. and generate trend reports.
