What – The Role:

This is a well-rounded Senior Executive Assistant role, providing high-level support to senior leadership. The position involves a mix of strategic and administrative responsibilities, requiring someone who can anticipate needs, manage complex schedules, and operate with a high level of discretion.
Key responsibilities include:

  • Supporting multiple executives with calendar management across multiple time zones.
  • Scheduling and preparing materials for in-person and virtual meetings.
  • Attending meetings, taking high-quality minutes, and following up on action items.
  • Coordinating domestic and international travel, including logistics and itineraries.
  • Organizing and responding to email correspondence on behalf of executives.
  • Managing expense reporting, budget tracking, and document preparation.
  • Planning and executing internal events, executive offsites, and leadership meetings.
  • Acting as a key point of contact for internal and external stakeholders.
  • Maintaining internal documentation and knowledge-sharing processes.
  • Supporting the development of executive-level presentations and materials.
  • Identifying and implementing process improvements to enhance operational efficiency.

The successful candidate will also serve as a mentor to other administrative professionals within the company, helping to streamline cross-departmental communication and improve administrative processes.
 

Who – The Candidate:

The ideal candidate is an experienced, proactive, and highly organized Senior Executive Assistant with a demonstrated ability to support multiple senior leaders in a dynamic, high-growth environment.
Key qualifications include:

  • 8+ years of experience in an Executive Assistant role. Strong job stability and proven success in similar roles can offset years of experience.
  • Experience supporting multiple executives in a structured, high-growth company.
  • Background in fast-paced industries such as technology, fintech, SaaS, e-commerce, or management consulting is highly preferred. However, candidates from other industries will be considered if they have supported a company through significant scaling.
  • Must have been part of a larger EA team, rather than being the sole EA supporting an entire company.
  • Exceptional communication, problem-solving, and organizational skills.
  • High level of professionalism, discretion, and ability to handle confidential matters.
  • Tech-savvy with proficiency in Microsoft Office, Google Suite, and other productivity tools.
  • Flexibility for occasional travel and the ability to support executives in different time zones.

 

How Much – Compensation & Benefits:

  • Competitive salary: $90,000 – $115,000 CAD, depending on experience.
  • Equity participation.

  • Lunch provided on in-office days.

 

Where – Location & Work Environment:

  • Metro Vancouver headquarters, with a hybrid work model.
  • Minimum of 2 in-office days per week (for candidates within 80km of the office).
  • Occasional early morning or evening meetings to accommodate global time zones.
