On behalf of our client, SWIM is recruiting for a new Office Manager. This is a newly created position due to ongoing business growth. The company wants someone who can truly focus on, and be accountable for, the smooth operations of this corporate office.
This is a very well-rounded role, with a lot of “traditional” office management responsibilities as well as interesting tasks in other areas of employee experience and workplace experience.
We are looking for an Office Manager with an upbeat & can-do approach to work. Someone who comes to work with a smile and is excited to contribute directly to an organized, happy, positive, and productive work environment. The ideal candidate for this role will be detail-oriented and hands-on as well as strategic and able to see the bigger picture.

  • Facilities management, including liaising with the property management firm, security, vendors, maintenance, interior designers, etc.
  • Ensure emergency preparedness, risk management, and compliance with health & safety procedures
  • Oversee relationships and contracts with external vendors for office supplies, kitchen supplies, furniture, equipment (photocopiers, printers, etc.).
  • Mentor and coach reception/administrative staff, and provide back-up to reception as needed
  • Participate in and contribute to various committees, such as social committee and health & safety committee.
  • Contributing to onboarding of new employees and employees transferred to Vancouver from other offices.

Who- the Candidate: 

We are seeking a well-rounded Office Manager who is organized, professional, detail-oriented, and passionate about their work. Qualified candidates will have at least 5 years and ideally 10 to 15 years relevant and progressive experience in corporate office management and workplace experience.

Clear communication skills (written and verbal) are crucial as this role involves a great deal of interaction with executive leaders, managers, colleagues, and other employees.

Experience working in complex and global corporation is beneficial but not required. Some form of post-secondary education is highly preferred but not necessary.

This company provides a very robust total compensation package. Competitive base salary commensurate with experience and skills, likely in the range of $75,000 to $90,000.

What- the Role:

Our client is looking to hire a Receptionist on a contract basis (6 to 8 weeks to start, with chance for extension and possibly even for conversion to permanent employment). This role can be either full-time 5 days/week (Monday to Friday) OR part-time 4 days/week (taking either Thursdays or Fridays off).

Reporting into the Senior Manager, Administrative Operations and working with others on the tightknit administration and reception team.

The Receptionist will be responsible for taking and transferring 50 to 100 calls a day, greeting visitors, managing ingoing and outgoing courier deliveries, ordering and stocking office supplies, sorting and distributing office mail, and generally maintaining an organized, clean, and efficient reception desk and office. 
 

Who- the Candidate:

We are looking for candidates who are upbeat, friendly, organized, detail oriented, and reliable. Must have at least 1 year of relevant and transferable administrative work experience in a corporate setting, ideally as a full-time receptionist managing a busy switchboard.   

Strong verbal and written communication skills are important in this role.

We are looking for people who are reliable, accurate, detail-oriented, efficient, and who are confident communicating with a variety of internal and external stakeholders.

Someone successful in this role will have a self-motivated work style and a team-player attitude. 

Ideally candidates will live in Surrey and/or close to a SkyTrain station, so that the commute is a good one for them.

What- The Role:

The Executive Assistant provides high-level administrative, operational, and coordination support to the CEO and, as needed, the Leadership Team. This role acts as a central point of contact across executive functions, helping to manage priorities, streamline workflows, and support the successful delivery of individual and cross-functional initiatives. The ideal candidate is highly organized, proactive, discreet, and comfortable working in a fast-paced, collaborative environment.

  • Provide comprehensive support to the CEO, including calendar management, inbox coordination, prioritization of requests, and preparation of executive materials.
  • Support members of the Leadership Team as needed by coordinating schedules, meetings, and leadership initiatives.
  • Plan, organize, and support executive and leadership meetings, including preparing agendas and materials, taking minutes when required, tracking action items, and following up to ensure completion.
  • Draft, edit, and distribute executive and company-wide communications on behalf of leadership.
  • Track timelines, deliverables, and dependencies for projects involving the CEO and Leadership Team, maintaining regular communication with stakeholders to support execution.
  • Identify scheduling conflicts, risks, or bottlenecks and proactively recommend solutions.
  • Manage travel arrangements, logistics, and itineraries for the CEO, as well as coordination for leadership meetings, offsites, and company-wide events.
  • Review and reconcile corporate credit card expenses and maintain organized records related to executive activities and approvals.
  • Coordinate with external vendors and consultants, managing schedules, deliverables, and communications.
  • Maintain accurate and well-organized systems, files, and executive contact information.

Who- the Candidate: 

  • Minimum 4–5 years of previous Executive Assistant experience, supporting senior or executive-level leaders.
  • Strong organizational skills with the ability to manage multiple priorities and shifting deadlines.
  • Excellent written and verbal communication skills.
  • High level of discretion, sound judgment, and attention to detail.
  • Proactive, reliable, and able to work independently while partnering effectively across teams.
  • Proficiency in the MS Office Suite (Outlook, Word, Excel, PowerPoint), with strong comfort managing calendars, documents, and data.

How much:

$80,000-$110,000 + extended health.
 

Where:

Here a few areas that the Administrative Assistant will have opportunity to help in:
 

  • Calendar management, including scheduling and booking meetings (off-site and on-site);
  • Greeting and coordinating couriers;
  • Maintaining, editing, and adding to various company reports, spreadsheets, and documents;
  • Organizing special events, including selecting venues, renting supplies, liaising with catering, etc.;
  • Supporting the accounting teams with accounts payable and accounts receivable invoicing
  • Conducting basic reconciliations for credit cards and bank accounts
  • Supporting the teams with clerical accounting tasks as needed, ensuring accuracy and efficiency
  • Preparing materials and logistics for public open houses and public hearings;
  • Ad hoc Executive Assistant type support, such as business travel coordination;
  • Managing and ordering office supplies and trouble-shooting any office-related issues which may come up;
