Talent Acquisition Operations Coordinator
Excellent opportunity for a highly organized and detail-oriented Talent Acquisition Operations Coordinator to join a fast-paced, high-growth organization on a 4-month contract. This role sits at the centre of recruiting operations and is responsible for ensuring smooth execution across agency coordination, interview scheduling, candidate management, and contingent workforce processes.

The Role
Reporting into the Talent Acquisition function, the Talent Acquisition Operations Coordinator will be responsible for supporting end-to-end recruiting operations, with a strong focus on agency coordination, scheduling, candidate tracking, and contingent workforce administration.
This role is best suited to someone who thrives in a highly organized, process-driven environment, enjoys managing multiple moving parts, and is confident communicating with internal stakeholders, executives, and external partners.
The successful candidate will be highly proactive, extremely detail-oriented, and comfortable working in a high-volume, time-sensitive environment where accuracy and responsiveness are essential.
Key responsibilities include:
- Acting as the primary operational point of contact for external recruitment agencies, managing submissions, communications, and feedback loops.
- Ensuring agencies are aligned on role requirements, hiring timelines, and process expectations.
- Coordinating complex interview scheduling across candidates, hiring managers, and interview panels.
- Managing calendar changes, rescheduling, and logistics with urgency and professionalism.
- Tracking candidate movement through the ATS and ensuring pipeline accuracy at all times.
- Collecting and consolidating hiring manager feedback, ensuring timely completion and documentation.
- Managing reminders and follow-ups to ensure feedback SLAs are met.
- Maintaining accurate ATS data (Workday), including requisition updates, candidate dispositions, and offer tracking.
- Supporting Slack communications across multiple channels, ensuring timely updates and clear information flow.
- Supporting contingent workforce processes, including intake, approvals, onboarding coordination, and contract tracking.
- Managing contractor agreements and ensuring documentation is completed accurately and on time.
- Tracking start dates and ensuring all onboarding requirements are met prior to commencement. Identifying and escalating process gaps or delays to ensure smooth hiring operations.

We are seeking a highly organized and execution-focused professional with experience in recruiting operations, HR coordination, or high-level administrative support within a fast-paced environment.
Candidates who have worked in structured, high-volume environments where precision, responsiveness, and stakeholder management are critical will be most successful.
The ideal candidate will demonstrate:
- Experience in recruiting operations, HR coordination, or executive/administrative support roles.
- Hands-on experience using Workday (ATS and/or HCM), with strong system confidence.
- Strong proficiency using Slack as a core communication tool in a professional setting.
- Excellent communication skills with the ability to engage confidently across all levels of the business.
- Exceptional attention to detail, particularly when managing scheduling, data, and documentation.
- Strong organizational skills with the ability to manage multiple competing priorities.
- Ability to remain calm, structured, and solutions-oriented in a fast-paced environment.
- Experience working with external vendors or agencies is highly advantageous.
- Strong sense of accountability and ownership, with a proactive approach to problem solving.
How Much
Hourly rate of $34–$35/hr + 4% vacation pay, commensurate with experience.
Where
Vancouver, BC (Hybrid or on-site depending on team requirements). Candidates must be comfortable working in a fast-paced, collaborative environment with high levels of communication across teams and stakeholders.
