What – the Role:
As Executive & Personal Assistant to the CEO, you will play a pivotal role in ensuring the smooth running of a busy Executives day. You will be a highly-trusted team member, responsible for bringing structure, clarity and execution to a fast-moving, ideas-driven environment. This role combines traditional executive assistance alongside project coordination, operations and personal assistance.
Duties will include but will not be limited to; calendar management across multiple businesses, meeting coordination and scheduling, inbox management and triage, representation of the CEO in communications, email management, travel coordination, project coordination tracking deadlines and action items, maintaining files and documents, liaising with vendors, contractors and internal team members, supporting personal logistics such as scheduling personal appointments, managing reservations, planning personal travel and gifts, and running occasional errands.

Who – the Candidate:
The role is ideal for someone who enjoys creating order, managing logistics, and helping turn ideas into organized execution. The CEO often works through ideas verbally; the assistant helps translate those conversations into structured follow-up, coordination, and implementation. You are a multitasker who thrives in a fast-paced environment and enjoys to keep things running smoothly. You are highly organized and skilled at managing complex schedules, travel coordination and calendars. You can see around corners, anticipating needs, problem solving and have exemplary communication skills. A tech savvy individual, who enjoys learning and utilizing software to manage their day and workload. The role requires a minimum 5 years of relevant Executive Assistant, operations or similar experience. The incumbent must also have the ability to build and maintain strong relationships, be comfortable with changing priorities, manage multiple tasks and meet deadlines.
Please note that this is a part time (20 hours per week) hybrid position that involves both remote work and some onsite work within the Vancouver area.
Where:
Remote work with the ability and flexibility to work on site in Vancouver when needed. Flexible schedule with daily weekday availability Monday – Friday required.
How Much:
Competitive hourly rate of $45 – $50 an hour (based on 20-hour work week) dependent on experience. Other generous rewards.
