Accountant and Administrator, Property Management
Full-time, permanent, in-office position with a well-established and very stable business in downtown Vancouver. Mix of administration, AP, AR, and cash management for the companys residential property management function. Small office with a friendly team.

Our client is a private financial holding company based in downtown Vancouver. The business mandate is to preserve capital and create additional value through both active and passive investments, primarily in the real estate space. There is a small yet mighty team that is tightknit and collaborative. The company has created a corporate culture that is very cultured yet not very corporate! The folks working there have an appreciation for arts & culture and a passion for giving back through the company’s Charitable Foundation. The holding company’s real estate portfolio consists of high-quality and well-located residential apartment properties in various cities in BC. Value creation is through active management and proactive upgrading of the properties. The property portfolio is managed in-house.
What- the Role:
On behalf of our client, Swim Recruiting is seeking a new Accountant/ Administrator for the company’s property management function. This opportunity is open due to the pending retirement of the current Accountant who has been with the company for many years. The new Accountant/Administrator will report to the Controller and will work closely with all others at the organization, including the Property Manager. Responsibilities are diverse, and include the following:
Property Management Administration
- Set up new tenants, maintain lease and tenant information in Spectra Property Management Software.
- Maintain tenant ledgers, post miscellaneous charges as instructed and reply to inquiries promptly.
- Process tenant move-outs and issue security deposit cheques within specified time frame.
- Prepare and process monthly tenant Pre-Authorized Debit payments.
- Process rent increases.
- Review and ensure accuracy of monthly rent rolls.
- Assist other team members with ad hoc administrative tasks.
- Relieve front desk when needed.
- Work closely with the Property Manager and Resident Caretakers.
Accounts Payable
- Process and maintain the full cycle of accounts payable for various entities:
- Process vendor invoices with high level of accuracy.
- Conduct GL expense coding and identify any potential issues.
- Process cheque runs and electronic payments.
- Reconcile vendor statements and communicate with vendors to resolve any discrepancies.
- Process employee expense reimbursement requests.
Accounts Receivable
- Process full cycle of accounts receivable for all rental properties:
- Process rental and other charges in the Property Management software.
- Apply payments for rent and other charges with high accuracy.
- Reconcile monthly rents and communicate with Resident Caretakers for any issues or discrepancies.
- Prepare monthly A/R statements for all rental properties.
- Follow up with building managers for returned payments due to NSF.
General Accounting and Cash Management
- Assist with month-end closing and preparation of financial statements and management reports.
- Prepare journal entries for multiple entities.
- Assist with treasury functions including online banking, bank deposits, and cash balance monitoring.
- Work collaboratively with the Controller to assist with annual budget preparation and year end working papers for the external audit.
Who- the Candidate
We are looking for a well-rounded, versatile, and detail-oriented professional with at least 2 years of relevant work experience in accounting & administration for property management. Ideally candidates will have worked at a residential property management company We are looking for someone who is reliable and organized, and who enjoys working on a tightknit and collaborative team.
The ideal candidate will be comfortable following established processes and working within clear systems, while identifying where improvements can be made. The Accountant/Administrator will be happy handling recurring accounting tasks and stepping into new ones as needed. We are seeking someone who takes pride in accuracy, organization, and attention to detail.
Personality traits we are seeking in the new Accountant/Administrator include generosity, kindness, patience, authenticity, adaptability, humility, and a great sense of humour! We are looking for someone who is systems & computer savvy.
- 2+ years’ experience in residential property management accounting and/or administration, with ability to learn new skills.
- Post-secondary education related to Accounting is highly preferred.
- Systems:
- Experience with using a property accounting. software is a significant asset (such as Yardi, Timberline, or Spectra).
- Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
- Strong attention to detail and high level of organization.
- Clear written and verbal communication.
- Self-starter and able to adapt and problem-solve with minimal supervision.
- Strong sense of ownership and accountability with a humble work ethic.
- Ability to prioritize multiple tasks and work independently or collaboratively within a team environment.
Where:
This is a full-time in-office position. The company is located in the heart of downtown Vancouver, close to the Vancouver Public Library and the Vancouver Art Gallery. There is bike parking, change rooms, and showers in the building. Typical work hours are 8:30am to 4:30pm or 9am to 5pm. Approximately 35 work hours a week (7 hours of work, 1 hour lunch).
How Much:
Base salary will be commensurate with relevance and depth of work experience and qualifications, likely in the range of $60,000 to $70,000. Additionally, the Accountant/Administrator will receive health, dental and vision benefits, life insurance, and long-term disability (after a 3-month wait period). Paid vacation, plus the office is often closed from Christmas to New Year’s Day.
