This is a contract through Jan 31, 2027, with possibility for extension if business needs and performance align.
Who – The Company:
Exciting opportunity to join a fast-growing international Vancouver based company and one of Vancouver’s finest! They are a people-centric organization and known for their collaborative team culture.
What- The Role:
- Owns key administrative tasks – calendar management, scheduling, tracking deadlines, and coordinating project logistics.
- Supports the GTM team for special projects, they are brought in to handle brand collaborations and unique off-calendar initiatives. Every project is different, so nothing can be streamlined – this team creates new calendars, manages invites, and adapts process to fit each project’s unique needs.
- Cross-Functional Coordination: Engages with multiple teams and senior-level Executive Assistants (EAs) to manage VP+ schedules and facilitate collaboration.
- This role handles special projects where every timeline and approach is different, requiring agility, adaptability, and a proactive mindset.
- Takes notes during key meetings, manages follow-ups, and ensures action items are completed.
Who – The Candidate:
- 3-4 years of experience in project coordination or administrative support within operations, with increasing responsibilities. Experience in product operations and/or merchandising is a plus
- Strong organizational skills with the ability to manage shifting priorities and meet deadlines.
- Excellent communication and interpersonal skills to engage with cross-functional teams and senior leaders.
- Ability to manage complex scheduling across multiple stakeholders, including VP+ level executives.
- Proficiency in coordinating meetings, tracking action items, and maintaining project documentation.
- Experience managing confidential information with discretion and professionalism.
- Demonstrated ability to work in a fast-paced, agile environment where each project is unique.
How much:
$35-38.50/hr commensurate with experience + 4% vacation pay.
Where:
Vancouver, BC, 4 days’ onsite.
