What- the Role:
On behalf of our client, SWIM is recruiting for a new Administrative Assistant.
The Admin Assistant will be supporting a small department with calendar management, booking meetings, preparing meeting rooms, travel coordination, planning corporate events, filing, invoicing, expense reports, etc. Additionally, the Administrative Assistant will prepare meeting materials, put together presentations, compile reports, and manage the department’s annual calendar. Various systems will be used by the Admin Asst including the full Microsoft Office suite (Outlook, Word, PowerPoint, Teams, Excel), as well as SharePoint, Zoom, and Workiva.

Who- the Candidate:
We are seeking a well–rounded administrative professional who is detail-oriented, organized, and professional, and who has a can-do approach to their work. Qualified candidates will have at least 3 years and ideally 5+ years’ of relevant and progressive experience in administration in a corporate office environment.
Qualified candidates will be skilled in scheduling, coordinating, filing, organizing, and planning! Experience working in a complex global corporation is an asset but not required. Some form of post-secondary education is highly preferred. Excellent communication skills (written & verbal) are important in this role. Candidates must be systems-savvy (particularly within Microsoft Office), and able to learn new processes, systems, and tools quickly. Prior work experience administratively supporting a supply chain or logistics department is a significant asset, but not at all required.
Where:
Based in corporate headquarters in the heart of Downtown Vancouver, close to public transit and many amenities like restaurants and shops. There is also some hybrid “work from home” flexibility- please discuss with SWIM.
How Much:
