Fantastic EA opportunity! Seeking a professional with 5+ years of progressive administrative experience supporting senior-level leaders. Working with a large, fast-paced, successful, and complex company with a friendly corporate culture. Opportunity for long-term career development. The corporate office is in Burnaby.

What- the Role:

Our client has engaged SWIM to help them find a great new Executive Assistant who will report into a Senior Manager of Corporate Administration and who will directly support the Chief Financial Officer (CFO) and Chief Executive Officer (CEO). This is a very diverse EA role that involves calendar management, booking and preparing for meetings (internal and external), liaising with the Board of Directors, managing international travel coordination, project management, internal communications, etc.  
The EA will have one (1) Office Coordinator as a direct report and will oversee office management with that person’s hands-on support on the day-to-day office administration. The EA will work alongside another EA, and a few others in administration including a Travel Coordinator.   This role is open due to the internal promotion of the current EA. 
Various computer systems and platforms will be used by the EA including Microsoft Office Suite, Adobe InDesign, video platforms such as Teams and Zoom, and the company’s HRIS. Who- the Candidate:

We are looking for EAs with at least 5 years and ideally 7+ years of progressive administrative experience, including at least a few years in an EA capacity supporting senior leaders.  The best possible candidate for this role will be resourceful, intuitive, super self-motivated, professional, organized, and always seeking out ways to help streamline the busy work lives of the CFO and CEO.  Ability to maintain utmost business confidentiality is very important in this role. Excellent communication skills, verbal and written, are crucial. 
In addition to relevant work experience and skills, there are a few “nice to haves” that will make candidates even more qualified for this role…  

  • Experience mentoring, coaching, and managing 1+ direct report 
  • French language skills are a plus
  • Experience working in a publicly listed company (or a very large and complex private company) 
  • Experience directly supporting a CEO
  • Experience directly supporting a CFO
  • Experience liaising with a Board of Directors 
  • Experience with multi-national travel coordination (with the support of an external travel agency)
  • Experience in a business with operations in the US or Quebec.

Where:

Burnaby- near Metrotown, very transit accessible, beautiful corporate office. If the EA is open to it, there may be occasional business travel involved in this role (for example, to Board meetings in other provinces or states, to conferences, etc.) It is preferred that the EA have a valid Driver’s License (but owning a car is not at all required) as there may be the occasional need to drive for work purposes.
