Our client, is a well-established and successful merchant bank, seeks a well-rounded Executive Assistant to primarily support the CEO while providing additional support to the Senior Leadership team. This is an in-office position with the ability to work remotely on Fridays once the candidate has successfully learned all aspects of the job.

What- The Role:
This is a fabulous opportunity for a well-rounded administrative professional who enjoys diverse administrative responsibilities in a small, tight knit office environment.

Overseeing all corporate incoming and outgoing communications, including emails, phone calls, and internal correspondence.

Keeping the executive’s calendar up-to-date, including adding events, rescheduling appointments and providing updates to the team.

Managing the schedules and communications of key company executives.

Provide secretarial/administrative support to all members of the team.
-
Preparing and circulating documents for meetings and scheduling meetings in calendars.

Booking travel arrangements (airline tickets, hotels, car rentals etc.).

Completing expense reports.
-
Greeting visitors, oversee incoming and outgoing mail and courier packages.

Maintain office supplies and equipment, order as needed, general upkeep of kitchen, boardroom.

Monitor the general email inbox and responding to queries, answering incoming phone calls as needed, arranging repairs and addressing maintenance issues for the office.

Make SEDAR and SEDI filings as needed.

Help out with other ad hoc administrative tasks as needed.

10% of job will include personal assistant responsibilities, including occasionally helping out with executive personal travel arrangements.
Who- the Candidate:
Qualified candidates will be self-motivated, friendly, reliable, organized, efficient, and professional, with a team-player mentality. Candidates will have relevant work experience doing administration in a corporate work environment. Excellent communication and interpersonal skills are also important in this position.

2+ years’ experience in a similar administrative capacity.

Systems savvy, particularly within Microsoft Office Suite (Excel, Word, Teams, etc.), Zoom, Outlook, itunes.

Database management (cloud-based sharing platforms).

Experience in lending is a significant asset, but not required.

Experience with SEDAR and SEDI is an asset but not required.

Relevant post-secondary education is preferred.

Attention to detail and accuracy.

Ability to work both independently and within a team; detail-oriented, organized, professional, and efficient.

Excellent communication skills (written and spoken).

High level of integrity.
