Who- the Company:
Our client is a very reputable private equity firm with various entities, multiple business lines, and operations in Canada and the US. The firm is led by impressive and down-to-earth leaders. Swim Recruiting can provide more insight into the people of this firm, as well as the corporate culture.

What- the Role:
Our client is seeking a new Administrative Assistant who will support the Office Manager, Managing Partner, Managing Directors, and other leaders of the firm.
The Administrative Assistant will take on a variety of tasks- taking calls from 3 incoming phone lines, sorting and distributing the mail, sending out couriers, preparing meeting rooms, filing bank statements and other documents, paying bills, reconciling corporate credit card statements, contributing to document creation and reports, assisting with overall office management, etc. The Admin Asst will report into the Office Manager who has been with the company for many years. There is opportunity for career development over the years and the Office Manager is looking for someone who can grow with the organization- in administration or perhaps even in another area such as accounting.  

Who- the Candidate:
Qualified candidates will be self-motivated, friendly reliable, organized, efficient, and professional, with the ability to learn quickly and the willingness to seek out process improvements in their administrative tasks.

  • At least 2 years’ relevant experience in a similar administrative capacity.  

  • Detail-oriented, organized, professional, and efficient.

  • Experience working in a similar role within a venture capital, private equity, financial services, investor relations, wealth management, or real estate investment trust firm is an asset, but NOT required!

  • Excellent communication skills (written and spoken).

  • Systems savvy, particularly within Microsoft Office Suite (Excel, Word, Teams, etc.). Ability to learn new technologies and software (for example, an investor database) is an asset. Experience with Sage 300 is a plus, but not at all required.

  • Numerically savvy. Some exposure to basic accounts payable invoicing is an asset, but not required. Someone who is detail oriented and eager to learn will quickly pick up this responsibility.

How Much:
