What- the Opportunity: 
Our client is looking for an energetic and friendly receptionist to join their busy firm on a full-time permanent basis. The receptionist reports to the Chief Operating Officer and is responsible for providing office and clerical support to ensure that its office services are provided effectively and accurately. The position requires someone who is conscientious, adaptable and eager to learn new skills and tasks.

Responsibilities include but are not limited to: 

  • Greeting and directing clients and other visitors

  • Answering the phone and managing client and general inquiries 

  • Managing e-mail inquiries and faxes

  • Booking and setting up boardrooms for meetings including arranging for caterers

  • Coordinating courier pickups and deliveries and meticulously keeping track of incoming and outgoing parcels 

  • Managing office supply orders and stocking and organizing the supply room and kitchen 

  • Sorting and delivering incoming mail and processing outgoing mail.

  • Assisting with labeling, indexing, storing, retrieving, opening and closing of physical and electronic files

  • Accounting duties including posting payables and filling out reimbursement forms for staff. 

  • Assisting with technology maintenance and liaising with vendors for the coffee machine, fax machine, printers, phones, laptop, televisions and photocopy machines.

  • Update library publications

  • Coordinate with Landlord for tenant service requests

  • Assist Chief Operating Officer with projects as requested.

  • General housekeeping and/or hostess responsibilities

  • Overtime may be required from time to time.

Who- the Candidate:
Because our practice generates busy courier traffic, we need a strong reception clerk who is comfortable with multi-tasking. We seek an individual who has experience in a law firm environment and is interested in a position that engages with the entire firm.   • Legal Administrative Assistant Diploma/ Certificate

  • Previous experience in the legal field (not required but bonus)

  • Knowledge of PC Law an asset

  • Consistent display of professionalism, discretion and poise 

  • Computer competency with Microsoft suite products (Word, Excel, etc.)

5 days at their downtown Vancouver office – near Vancouver City Centre SkyTrain station (transit accessible).
