What- the Role:
On behalf of our client, SWIM is recruiting for a new Administrative Assistant.
The Administrative Assistant will be supporting a two small corporate teams with calendar management, international travel coordination, booking meetings, preparing meeting rooms, planning corporate events, filing, invoicing, expense reports, managing corporate subscriptions, etc. Additionally, the Administrative Assistant will prepare meeting materials, put together presentations, compile reports, and manage the department’s annual calendar. Various systems will be used by the Admin Asst including the full Microsoft Office suite (Outlook, Word, PowerPoint, Teams, Excel), as well as SharePoint, Zoom, Workiva, and the company’s ERP system.

Who- the Candidate:
We are seeking a well–rounded administrative professional who is detail-oriented, organized, and professional, and who has a can-do approach to their work. Qualified candidates will have at least 3 years and ideally 5+ years’ of relevant and progressive experience in administration in a corporate office environment.
- Qualified candidates will be skilled in scheduling, coordinating, filing, organizing, and planning!
- Experience providing calendar management is required, preferably for 2-3 senior leaders.
- Experience with travel coordination support for multiple people is required (preferably International travel coordination, including booking accommodations, ground transportation, etc.)
- Experience working in a complex global corporation is an asset but not required.
- Some form of post-secondary education is highly preferred.
- Excellent communication skills (written & verbal) are important in this role.
- Candidates must be systems-savvy (including experience with Outlook, PowerPoint, and SharePoint), and able to learn new processes, systems, and tools quickly.
- Prior work experience administratively supporting a supply chain or logistics department is a significant asset, but not required.
Where:
Based in corporate headquarters in the heart of Downtown Vancouver, close to public transit and many amenities like restaurants and shops. There is hybrid “work from home” flexibility- please discuss with SWIM.
How Much:
Competitive base salary commensurate with experience and skills, in the range of $60,000 to $80,000, with a sweet spot in the early $70,000s.
